PRIVACY POLICY FOR ESF CLIENTS AND STUDENTS

As part of the services it offers, ESF collects your personal data. This policy explains how ESF uses this data in accordance with the GDPR (General Data Protection Regulation of 25 May 2018).

1. Did you know?

ESF instructors work as independent contractors. They organise locally in French Ski Schools to manage teaching, supervision, and snow sports activities.

To protect their interests, they also form Local Unions with legal personality—one per ski resort. The term “École du Ski Français” is authorised by the National Union of French Ski Instructors (S.N.M.S.F.), established in 1945, which oversees the profession while ensuring instructors’ autonomy.

When you use ESF services, your personal data is processed by both the Local Union and the S.N.M.S.F., each acting as a data controller for its own purposes:
- Local Union: Manages your contractual relationship (billing, payment, reservations), marketing operations, and legal compliance.
- S.N.M.S.F.: Operates the central reservation system used by Local Unions to collect data for ESF services and CRM purposes.

2) What data is collected?

a. General case
Personal data collected during voluntary registration (online or at the office), with or without booking, includes:
- Last name ;
- First name ;
- Date of birth ;
- Skill level;
- Language(s) spoken
- Postal address ;
- E-mail address and ;
- Phone number.

b. Photographs or videos
The customer authorises, free of charge, the ESF instructors, an ESF service provider acting on behalf of the ESF in taking photographs, and/or an independent photographer, as part of the service for the sale of images that will be offered (after the images are taken) by the latter to the customer, to photograph and/or film the customer during lessons given by the ESF instructors and attended by the customer, and/or during competitions organised by the ESF in which the customer participates.

The customer authorises the ESF, the ESF service provider who participated on behalf of the ESF in the taking and/or use of the images (e.g., photography, video editing, etc.), and/or the independent photographer, as part of the aforementioned service, to use these images (photographs or videos), in particular by reproduction, display, projection, and adaptation, on their website, social media, or any other promotional material such as leaflets, flyers, posters, and advertisements.

This authorisation is granted worldwide and for a period of 5 years from the date the images are captured.

If the customer is a minor, the parents of the customer grant the ESF, the aforementioned ESF service providers, and/or the independent photographer permission to photograph, film, and use their child’s image under the same conditions.

c. "Étoile" test results and esf competitions.
Results from “Étoile” tests and ESF competitions are public and displayed at the Local Union premises and online.

d. Payment data
Banking information is not collected by the Local Union or S.N.M.S.F. Transactions are secured via encryption by the service provider.

3. purposes?

Personal data is collected to provide ESF services and may be stored in anonymised form for statistical purposes. Only data strictly necessary for ESF services and protection of your vital interests is requested. Third parties using personal data are required to ensure its protection.

This constitutes a legitimate interest that does not infringe on your freedoms or rights.

4. recipients

Your data may be shared with:
- The Local Union management team at your resort
- Your esf instructor.
- S.N.M.S.F. IT department
- IT and web development subcontractors (sales analysis, CRM tools)
- Local authorities if legally required

5. data security

Information is stored in a secure digital system managed by the Local Union and S.N.M.S.F. Appropriate technical (e.g., firewalls) and organisational (e.g., IDs/passwords, physical security) measures protect against destruction, loss, alteration, misuse, unauthorised access, modification, or disclosure.

7. DATA RETENTION

The data collected is stored, archived, and eventually anonymised by the Local Union and the S.N.M.S.F.
Before being anonymised, customers’/students’ personal data will be archived for 10 years from the date of booking for accounting purposes (invoices must be retained for 10 years from the end of the financial year).
Before being archived, the data will be kept in the Local Union’s “active database” for 3 consecutive seasons for marketing purposes. At the end of this period, if you have not responded to any communications from the ESF, the data will then be archived.

8. COOKIES AND INTERNET TAGS

a. Cookies
A cookie is a file stored on your device (computer, smartphone) containing information such as domain name, ISP, operating system, date, and time of access. ESF may track your website activity (pages viewed, searches) to improve site content and navigation.

You can configure your browser to limit cookie storage, though this may restrict your experience.

b. Internet tags
The Syndicat Local may occasionally use web beacons (hereinafter "tags") in order to assess your response to its website and the effectiveness of its actions (e.g. the number of times a page is opened).
